Is your business up to date with Insurance and Data Protection?

There are so many new rules and regulations we must follow in our hair and beauty businesses we thought we could catch up on data protection and how we keep this data in our day to day running of the business. Weather your a hair or beauty small or large business you need to comply and we can run through a few things that may help.

What is GDPR?

The General Data Protection Regulation (GDPR) is a compliance standard intended to strengthen data protection for individuals across the European Union.

How does this affect you?

Hair and Beauty businesses need to hold clients data. We need their number to contact them, personal information in accordance with their treatments that we may need to know about, their doctors information in case of emergency and much more.

The main ways you keep data are paper based or online/computer based. If choosing paper based, your records must hold essential information only, relating to what you need it for. You need to keep this data, in a locked secure cabinet which has a log on the front of when you access the information, who’s you have accessed, why you have accessed it, and when you have returned it. On each clients card you need ask the client to consent to having your data, along with if your thinking of contacting them, they allow you to and in each format eg phone or email or post.

If your looking at online systems, you can add clients with their own profile, add forms that you create yourself like a record card, with the information you require. You can add signatures so client sign it as proof, along with it being sent to their email asking for consent to be sent information. The systems have endless features such as newsletters, online bookings, birthday emails, stock inventory, profit, sales, reminders, marketing, payments and endless reports. They are password protected with their individual log ins so you can see who has accessed the information and when.
